Add a 'new department contact' to a 'company contact'

Adding a department contact to a company contact helps you organize contact persons by department within the same organization. This keeps communication clear for service requests, maintenance follow-up and location-based asset management.

 

  1. Click “Contacts”.
    This opens the contact area where company contacts are managed.

  2. Select the relevant BuildingFloor and Room levels to filter and find the Company Contact that the Department Contact should be added to.
    Filtering by location helps you quickly find the correct company contact in larger projects.

  3. Click the relevant Company Contact (in this example: “demo_onderhoudsbedrijf_techniek-experts”).
    Opening the correct contact ensures the department contact is added to the right company record.

  4. Click “Actions”.
    The Actions menu contains the option for adding a department contact to the selected company contact.

  5. Click “+ Department”.
    This opens the form for creating a department contact underneath the company contact.

  6. Fill in the Name field, for example “demo_onderhoudsbedrijf_techniek-experts_afdeling-airco's”.
    A clear department name makes it easier to identify the specific team or department later.

  7. Fill in the Email field, for example “onderhoudsbedrijf_techniek-experts_afdeling-aircos@demo.nl”.
    The email address ensures the department contact can be reached directly for service communication.

  8. Select the relevant Function option from the dropdown menu, for example “Supplier”.
    Choosing the right function helps define the role of the department contact within the company.

  9. Click “Save”.
    Saving creates the department contact and links it to the company contact.

  10. Confirm that the Department Contact has been created within the Company Contact (for example, the department “demo_onderhoudsbedrijf_techniek-experts_afdeling-airco's” inside company “demo_onderhoudsbedrijf_techniek-experts”).
    This verification shows the department contact is now available for communication and follow-up within AssetLog.
